Connect Zoom

Connect your workspace's Zoom account once; online and hybrid events then create their meetings, give every guest their own Zoom link and read the attendance report.

Connect

  1. Go to Settings and find the Zoom card. Only workspace admins see the button.
  2. Click Connect Zoom and sign in to Zoom with the account that should host your events.
  3. Approve the permissions VenueWS asks for: create meetings, register guests, read the attendance report.
  4. You land back in Settings with Zoom is connected.

Use a licensed Zoom user (Pro or above). Zoom only allows registration and attendance reports on licensed users; with a Basic user, guests register on Zoom themselves and minutes don't come back (clicks on personal links are still counted).

What VenueWS does on Zoom

  • Creates the meeting or webinar when you pick Zoom on an event and leave the meeting ID blank, with registration on and Zoom's own emails off — guests hear from you, through VenueWS. Changing the event's name or time updates the meeting.
  • Adopts an existing one when you give its ID (or pick it from Pick one of my meetings), turning registration on if it was off.
  • Registers each online guest the first time they open their link, or shortly before the start, so each one gets their own Zoom link.
  • Reads the report after the event for attendance and minutes. See Track online attendance.

Disconnect

Click Disconnect on the Zoom card. Meetings already made stay on Zoom, but VenueWS stops registering guests and reading reports. If you remove the VenueWS app from Zoom's App Marketplace instead, VenueWS notices and shows the card as disconnected.

One Zoom user can be connected to one VenueWS workspace at a time. Not on Zoom? Online events work with any meeting link — see Run an online or hybrid event.
