Send passes on WhatsApp
Send guests their pass, invitation and reminder on WhatsApp as well as email, from your own WhatsApp Business number.
Turn it on for a venue
- Go to Venues, open the venue and choose Settings.
- Turn on Also send over WhatsApp.
- Click Save changes.
Guests with a phone number then get their pass and the reminder on WhatsApp too, alongside email. By turning this on you confirm the guests you add have agreed to hear from you on WhatsApp. Self-registered guests tick Send my pass on WhatsApp too themselves.
Which number sends
Always yours. WhatsApp messages go out from your own WhatsApp Business number, under your business name — VenueWS has no shared number. Until you connect one (Settings → WhatsApp card), guests get everything by email only.
Connect your own number
- Have ready the phone number (it must receive an SMS or a call), a Facebook account, and your business's name and website. The number can't be on personal WhatsApp. If it's in the WhatsApp Business app, tick the box to keep using it there.
- Click Connect WhatsApp. In Meta's window, choose or create your business portfolio, create the WhatsApp account, pick the display name guests will see, add the number and type the code Meta sends.
- VenueWS finishes the rest and submits the pass, invitation and reminder templates in English and Spanish. The card shows each one as In review, Approved or Rejected.
- Add a payment method in WhatsApp Manager → Overview (use Payment method and numbers in WhatsApp Manager on the card). Meta bills your conversations directly.
Until Meta approves your templates, WhatsApp messages wait in the queue (email goes out as usual). Use Check again to refresh, Retry setup if a step failed, or Disconnect to stop sending from your number. If the card shows Needs attention, use Connect again — nothing is lost.
Display name tip: use your business or brand name as it appears on your website — Meta rejects generic names.
Rather do it together? Click Set it up with me, fill in the form and Send request. We'll set it up with you on a short video call.
Replies
- A guest who replies STOP is opted out and never messaged again on WhatsApp. Their email still goes.
- A guest who replies YES to the reminder is recorded as coming.
The card also shows the last 24 hours (sent, delivered, read, failed, held) and how many numbers said STOP.
