Send a message to your guests
The QR again, a reminder or your own note — by email, WhatsApp or text — to the guests you choose, now or at a time you pick.
Send it
- Open the event. On the Guests tab, find the Messages panel and click Send a message.
- Under What, pick the kind of message (see below). For a Note, write a Subject and a Message.
- Under Who, choose the audience — or guests I choose… to filter by answer, category and arrival, then tick or untick guests by hand.
- Under How, pick the channels: Email, WhatsApp, Text (SMS). Each shows how many guests it reaches; below, the total and how many none of your channels reach.
- Under When, choose Now, or Later and pick the date and time.
- Click Send (or Schedule).
What you can send
- Invitation with QR — the invitation email again, QR included, for whoever lost it or never got it.
- Reminder — "It's tomorrow": the QR, the time and a button to confirm they're coming.
- Note — your own words (doors moved, parking, dress code), in plain text. Each guest gets it with their name and a button to their invitation.
Who can get it
- guests who have not responded
- everyone invited
- guests who said yes
- guests not yet arrived
- guests whose last email did not arrive
- guests who came
- guests I choose… — by answer (said yes, not responded, said no), category, arrival and — when the event has a waiver — whether they have signed it yet, then by hand
Channels
- Email reaches everyone with an address.
- WhatsApp reaches guests with a phone who agreed to WhatsApp, for Invitation with QR and Reminder (WhatsApp only carries approved templates, so not Note). Needs WhatsApp connected in Settings.
- Text (SMS) goes from your own Twilio number (connect it in Settings), greets the guest by first name and carries the link to their invitation. A Note by text is shortened to three messages. Leave Text only the guests email and WhatsApp can't reach ticked so each guest gets it once; untick it to text everyone with a phone too — texts are billed by your Twilio account.
- Add the event page link puts the event page (programme, the place, sponsors and vendors) in the email and the text, when the event has its page on.
Follow it up
Every send is listed in the Messages panel with what it was, who it went to and how many were sent. If some failed, click Retry failed. A scheduled message shows scheduled; delete it with the bin icon and Cancel message before it goes out.
Good to know
- Picking a channel here sends on it even if the venue's automatic WhatsApp or texts are off — those switches are for new invitations.
- Guests with no email who were never sent anything are included: a text may reach them now.
- Archived events can't send new messages.
Tip: the 24h reminder already goes out on its own — see Invitation emails and reminders. Use a Reminder send for an extra nudge.
