Invitation emails and the 24h reminder

How guests get their QR by email automatically, the reminder the day before, and how to set the language, reply-to address and logo.

The invitation email

When you send a guest their invitation (see Send invitations), they get the invitation email: the QR, their entry window, the reference, and an Open my invitation button to their page. Guests who register themselves, and new guests from a linked list, get it straight away.

  1. Make sure Email invitations to guests is on in the venue's settings (see venue settings). With it off, guests who register themselves or come from a linked list get no email; when you send invitations yourself, email still goes.
  2. Optionally turn on Also send over WhatsApp there too. See WhatsApp.

If the event has a required waiver the guest hasn't accepted, the email holds back the QR and the button takes them to accept it first.

The reminder the day before

  1. In the event form, keep Email a reminder 24h before the event ticked (it's on by default).
  2. About a day before the event starts, every active guest with an email gets the QR again with "It's tomorrow" and a button to confirm they're coming.

Guests who declined are skipped, and guests invited less than about 20 hours before the start don't get one — they've just received their invitation.

Make it yours

These are in Settings (admins only):

  • Business name — the name guests see as the sender.
  • Reply-to email — where a guest's reply lands. Leave it blank and replies go to VenueWS support instead of to you.
  • Guest language — English or Spanish for guest emails and pages. An event can override it with its own Guest language.
  • Logo — PNG, JPEG, WebP or SVG up to 200 KB, shown at the top of guest emails and invitation pages.

Buttons and links use the venue's Accent colour, set in the venue's settings.

Tip: something didn't arrive? Check the email log.
