Automate with Zapier or Make
Connect VenueWS to the tools you already use — a shop, a form, a mailing list, a team chat — without writing code.
Zapier and Make run on the VenueWS API, so they need a paid plan and an API key.
Connect your account
- In VenueWS, open API & webhooks and click Create key (see Use the API and webhooks). Copy the key — it's shown once.
- In Zapier or Make, add the VenueWS app and create a connection.
- Paste the key into API key. Leave VenueWS URL as it is unless you run VenueWS on your own domain.
If VenueWS doesn't show up in the app search, contact support.
What you can automate
Triggers fire the moment something happens:
- a guest admitted, or a scan refused;
- a new invitation;
- a new public registration;
- an RSVP updated.
Actions:
- create an invitation — the guest gets their QR on the venue's usual channels (send
"send": falsein the API to add them and send later from the app); - revoke an invitation, so its QR stops working at the door;
- find a guest in the guest book by name or email.
In Make, the instant trigger is Watch door and guest events; the modules are Create an invitation, Revoke an invitation and Search the guest book.
When you turn a Zap or scenario on, it subscribes its own webhook in VenueWS; turning it off removes it. The guest's QR is never sent to Zapier or Make — VenueWS sends it to the guest itself.
Ideas to start with
- A paid shop order or a form response creates an invitation.
- A guest admitted posts into a team chat.
- A refused scan adds a row to a sheet.
- A new registration adds the guest to your mailing list.
Selling tickets on Shopify? For a one-off list, export your orders as CSV and use Import guests from a CSV — no automation needed.
