Import guests from a spreadsheet (CSV)
Issue a whole guest list at once from a CSV file or a Shopify orders export, preview it first, and re-import safely to update.
Import the list
- Open the event and click Import CSV.
- Paste the rows into the box, or click …or upload a .csv file (1 MB max).
- Check the count under the box, then click Preview.
- Read any warnings above the table and check the rows (the first 200 are shown).
- Click Issue {n} invitations. Use Back to fix the text first.
- When it's done, click Download batch CSV to get every guest's link and QR code, handy for guests without an email.
Columns
The basic order is guestRef, guestName, guestEmail. Optional columns: phone, table, partySize, validFrom, validUntil, type, reason.
typesays whether the guest bought a ticket:ticketed(orpaid) orcomp(orcomplimentary, free, cortesía).reasonsays why someone is complimentary (Speaker,Press…) and marks them comp. A Shopify orders export is ticketed.
- A header row is optional. With one, columns can be in any order, and common names work too:
ref, name, email, party, seats, mesa, mobile, whatsapp, celular… - Commas or semicolons both work (Excel in Spanish often saves with semicolons).
- Up to 2,000 rows per import.
Re-importing updates, it doesn't duplicate
Rows whose reference already exists in this event update that invitation instead of creating a new one. So you can fix the sheet and import it again. If your file has no table column, seating you set in the app is left alone.
What the preview warns about
- An invalid email: the row is skipped.
- The same reference twice: the later row wins.
- A party size that isn't a whole number from 1 to 500: 1 is used.
- A date that can't be read: it's ignored and the event's window is used.
Shopify orders export
Export your orders from Shopify and import the file as is. VenueWS recognises it and makes one invitation per paid order, with the buyer's name and email, the order number as the reference and the tickets in the order as the party size. Cancelled, refunded or unpaid orders are left out.
Tip: an import sends nothing. Check the list, then click Send to N not sent when it's ready. For a list that keeps changing, link a Google Sheet or Eventbrite instead.
