Find and act on a guest

  1. Open the event. The Guests tab is the list.
  2. Type in Search name, email or reference…, or pick a status from All statuses.
  3. Click ⋯ at the end of the guest's row and choose: - Edit details… (or click the guest's name) — fix the name, email, phone, reference, party size, door or valid window. The QR stays the same, so anything already sent keeps working; if you change the email or phone of a guest who was already sent the invitation, you're offered to send it again. - QR & share link — shows the QR and the link to the guest's own page. - Send invitation… (or Send again…) — sends this guest their invitation, after showing how and what they'll get. - Seat across tables — for parties bigger than one. - Approve or Decline — for self-registrations waiting on you. - Revoke — the QR stops working at the door immediately. It can't be undone. - Remove from list… — for a guest added by mistake, twice, or to the wrong event. They leave the list and every count, their seats are freed, and nothing more is sent to them. They stay in your guest book. Someone who already came in, joined online, signed a waiver or paid for a seat can't be removed, because that stays on record; revoke them instead.

To act on several guests at once, tick the box at the start of their rows (the box in the header ticks everyone the search and filters show). A bar appears with Ticketed, Complimentary…, Clear type, Revoke and Remove…. Remove says first how many can go and which have to stay on record, and can revoke those instead.

Click a guest's Table cell to type a table and press Enter.

Statuses

  • Awaiting approval — registered themselves; waiting for you.
  • Active — the QR works within its window.
  • Checked in — fully used. For a party you also see how many are in, like "2/4 in".
  • Revoked — cancelled by you.
  • Expired — the window is over.

A small dot next to the email shows the delivery of the latest email (sent, queued or failed; hover for details). The phone line shows how far the last WhatsApp message got. Tags such as self-registered, walk-in and imported say where the guest came from.

Ticketed and complimentary guests

Each invitation can say whether the guest bought a ticket (Ticketed) or is a guest of the house (Complimentary, with an optional reason such as Speaker or Press). Set it under Guest type when you invite, with the type column in a CSV, or from ⋯ → Mark as ticketed / Mark as complimentary…. Guests imported from Eventbrite with a paid ticket are ticketed automatically; once an event has ticketed guests, a guest you add by hand starts as complimentary.

Once any guest has a type, the list shows a guest type filter and the counts in people ("180 ticketed · 22 comp"), the Attendance tab splits who's in by type, and the attendance CSV has guestType and compReason columns. At the door, a complimentary guest shows a Comp badge with the reason, so staff can greet them.

The guest book across events

Guests in the sidebar lists everyone you have invited or admitted, across every event, with Invitations, Attended, No-shows and Last seen. Search by name or email, or filter VIP or Blocked. From the row menu:

  • Mark as VIP so the door greets them.
  • Block — new invitations are refused and the door turns them away, even with a QR they already have. Clear flag undoes it.
Tip: the full attendance list can be exported from the event's Attendance tab.
