Check guests in at the door
Scan guests' QR codes, read the green and red results, and handle parties, re-entry and time windows.
Scan a guest
- Open the scanner on a paired phone (see Pair a phone as a door scanner).
- Leave IN selected at the bottom.
- Point the camera at the guest's QR code.
The whole screen turns a colour, with the guest's name, their table, a VIP tag when it applies, and how many of their party are inside.
- Green — let them in: Welcome in, Welcome back (re-entry) or Scanned out.
- Red — do not admit. The screen says why and stays up longer so you can explain it.
- Amber — the phone could not decide, for example Could not check when the network fails.
Tap the screen to clear it and scan the next guest.
Why a scan is refused
- Already used — every entry on this QR has been used; it shows when it was first scanned.
- Not valid now — outside the invitation's time window.
- Revoked or Not approved yet — the invitation was cancelled, or a self-registered guest is still waiting for approval.
- Do not admit — the guest is on your workspace's blocklist.
- At capacity or Door at capacity — the event, or this door's zone, is full.
- Wrong door or Wrong venue — the invitation is for another zone or venue.
- Waiver not accepted — see Waivers and consent.
- Not a VenueWS QR — unknown or tampered code.
Parties
One QR admits up to its Party size. Scan it once per person; the screen shows, for example, "2 of 4 inside · 2 still to arrive".
Re-entry
To let guests step out and come back without using another entry, Edit the event and turn on Allow re-entry under Re-entry. Staff switch the scanner to OUT as guests leave, and scan them IN again on return. Without re-entry, a QR whose entries are all used shows Already used.
Time windows
By default a QR is valid from the event's start to its end. Change it for the whole event under Default invitation window, or for one guest with Custom validity window (Valid from / Valid until) when you invite them.
