Find a guest by name at the door
Admit a guest whose phone died or whose email never arrived, and add walk-ins who were never on the list.
Admit someone from the list
- In the scanner, tap Guest list.
- If more than one event is running at the venue, pick the right one at the top.
- Type at least two letters (or four digits of a phone number) in the search box — a name, email, reference or phone number all work. Tap a guest to see more; if others share their phone, one tap shows them.
- Find the guest and tap Admit.
Each result shows what you need to decide: VIP or Blocked tags, how many of a party are in (for example "2/4 in"), Not checked in or Already used, and whether the invitation is Awaiting approval or Revoked.
Admitting from the list follows exactly the same rules as scanning the QR: capacity, zones, re-entry and time windows all still apply, and the result appears in green or red just like a scan.
If the scanner is set to OUT, the button reads OUT instead, so you can also check someone out by name.
Add a walk-in
For someone who is not on the list at all:
- In Guest list, tap Add a walk-in.
- Type the Guest name and the Party size (1 to 50).
- Tap Add and admit.
VenueWS creates an invitation marked as a walk-in and admits them in one go, so it shows up in attendance and reporting like any other guest. If the event is full, nobody is admitted and the walk-in is not kept.
Good to know
- The guest list only shows events at this venue that have not ended yet.
- Searching and walk-ins need a connection. If the network drops, keep scanning QR codes — see Scan while offline.
- Every admission by name is recorded in your audit log.
