Track online attendance

Every online guest has a personal short link. Each click is counted live, and with Zoom the report adds who stayed and for how long.

Each online guest gets their own short link, like /j/K7Q2M9X4. It is in their email, their reminder and on their invitation page. When they open it:

  1. VenueWS records the click — who, and when.
  2. If the event is open (from the Links open time until an hour after the end), they are sent straight into the meeting: their own Zoom link, or your meeting link.
  3. Too early, they see a countdown and the page takes them in by itself when it opens. After the end, it says the event has ended.

Link previews in chats and email security scanners open links too. They are recognised and never counted, so the numbers are people.

Watch it live

Open the event's Attendance tab. The Online attendance card shows:

  • Online guests, Joined (opened their link at least once) and Joining now (clicks in the last 15 minutes).
  • Latest clicks, a live feed that refreshes by itself while the event is on.
  • Online guests, a table with each guest's clicks and first join time.

On the Guests tab, online guests carry an online chip that turns green once they joined.

After the event, with Zoom

About 20 minutes after the meeting ends, VenueWS reads Zoom's participant report and matches it to your guests (by their Zoom registration, then email, then name). You get Attended and Avg. time, and each guest's minutes in the meeting — a guest on a laptop and a phone at once is counted once. Get attendance from Zoom reads it again on demand.

Export

Export CSV on the Attendance tab adds the columns attends, joinLink, joinClicks, firstJoinedAt, onlineAttendedAt and onlineMinutes. Webhooks online.joined and online.attended carry the same facts to your other tools — see API and webhooks.
