How VenueWS works

The six pieces of VenueWS — workspace, venues, events, invitations, QR codes and door scanners — and how they connect.

The pieces, from the top

  1. Workspace — your business. It holds your team, your plan and your settings. You create it when you sign up.
  2. Venues — your physical places. Each venue has its own time zone, door settings, zones and paired scanner devices. You find them under Venues in the sidebar.
  3. Events — something happening at a venue, with a start, an end and an optional capacity. Open a venue and click Events.
  4. Invitations — every guest you invite gets their own invitation. One invitation can admit a whole party (the Party size).
  5. QR code — each invitation carries a QR code. VenueWS emails it to the guest when there is an email on file (and sends it on WhatsApp if you set that up), or you share the link yourself.
  6. Door scanners — a staff phone paired to the venue, or a team member signed in on the Scanner. Scanning the QR admits the guest, and the numbers update on the dashboard and the Ops board.

Who sees what

Your role decides which parts of the sidebar you see:

  • Admin — everything, at every venue: venues, team, plan, settings.
  • Manager — runs events at their venues: guests, seating, vendors, messages, the door.
  • Door — scans and admits guests at their venues. Nothing else; their home is the scanner.
  • Billing — plan, invoices and the audit log. No venues.

More in Team and roles.

Where to start

  • Setting up for real? Follow the first event checklist.
  • Just looking around? On an empty dashboard, an admin can click Try it with sample guests to get an event running right now, with three guests whose QR codes really scan.
Everyone you have invited or admitted, across every event, is listed under Guests in the sidebar.
