Your first event, start to finish

A checklist from an empty venue to guests walking through the door.

Before the event

  1. Check the venue. An admin opens Venues → Settings & devices and reviews the time zone, branding and door settings. See Set up a venue.
  2. Create the event. On the venue's card click Events, then New event. Fill in Name, Starts and Ends — times are entered in your browser's time zone. Optional fields include Capacity, Allow re-entry, Default invitation window, Guest language, Repeats and Reminder. Click Create event. Details in Create an event.
  3. Add guests. On the event's Guests tab, click Invite guest for one person or Import CSV for a list. See Invite guests and Import guests from a CSV.
  4. Send the invitations when everything is ready. Guests you add aren't sent anything until you click Send to N not sent (or send to the ones you tick). For guests with no email or phone, share the link or QR yourself — see The guest page and QR.
  5. Optional extras. Build an event page on the Page tab (Event page), let people sign up with Let guests register themselves (Public registration), or plan tables on Seating (Floor plan).

Set up the door

  1. Set up the door phones. In the venue's Settings & devices, click Add door phones and send the link to your door team — they open it once, no login. See Set up the door team's phones.
  2. Do a test scan. Invite yourself, scan your own QR, and check that it shows as admitted. The door guide covers what staff see.

On the night

  1. Keep Ops open. Ops in the sidebar shows every live event, who is scanning, arrivals in the last 15 minutes and anything that needs a hand. See Dashboard and Ops.
  2. Watch the numbers. The event's Attendance tab shows who has been admitted.

After

  1. Organisers get a summary by email once each event ends, and the event appears under Recently ended on the dashboard.
Not sure your plan covers this event? Check the meters on the Plan page first — see Plans and limits.
