Create an event

Set up an event under a venue: its dates, capacity, re-entry, the default QR window, the guest language and whether guests can register themselves.

Create the event

  1. Go to Venues and open the venue the event takes place at. You land on its Events list.
  2. Click New event.
  3. Fill in the Name and, if you like, a Description.
  4. Set Starts and Ends. Times are entered in your browser's time zone; the event page then shows them in the venue's time zone.
  5. Adjust the options below (all optional), then click Create event.

The options

  • Event pass code (optional) — bought a single event? Type the code from your receipt and this event won't use a slot on your plan. Only shown when creating.
  • Default invitation window — Valid from and Valid until for every QR of this event. Set both or neither; blank means invitations are valid from event start to event end. You can still give one guest a different window.
  • Capacity — the most people admitted. Blank means unlimited. With a capacity set, VenueWS refuses to issue more seats than it.
  • Re-entry — tick Allow re-entry so guests can scan out and back in without using another entry.
  • Guest language — the language of invitation emails, WhatsApp, the invitation page and the registration page. Workspace default follows your workspace settings.
  • Event page for guests — only if you host the event's page somewhere else. The Page tab can build one for you.
  • Repeats — see Recurring events.
  • Reminder — Email a reminder 24h before the event is on by default. See Invitation emails and reminders.
  • Let guests register themselves — creates a public page guests can sign up on, with Approve each registration and Max party size. See Public registration.

Change it later

Open the event and use the ⋯ menu next to the buttons at the top: Edit reopens the same form, Duplicate makes a copy scheduled a week later, and Archive stops new invitations while existing QR codes keep their window.

Tip: going through it for the first time? Follow the first event checklist.
